How to Create, Edit & Delete Tasks
Structured has different types of tasks that can be scheduled in two different places: the timeline and the inbox. In your timeline, you can schedule all the tasks you want to do on a specific day. You can use your inbox to save tasks without a specific time or date.
Types of Tasks
In Structured, there are different types of tasks, depending on your purpose:
Timeline tasks: Tasks scheduled for a certain day and a specific time in your timeline, as described in this help center article in the following section.
All-day tasks: Tasks scheduled for a certain day without a specific time. You can learn more about all-day tasks here: How to Create All-Day Tasks.
Recurring tasks: Tasks, recurring on specific weekdays or days in the month. You can learn more about recurring tasks here: How to Create Recurring Tasks.
Inbox tasks: Tasks, without a specific time or date. You can either check them off in your inbox or schedule them in your timeline. Learn more about inbox tasks here: How to Use the Inbox.
Create a Task
1. Start Creating
There are two ways of creating a task in your timeline. The first one is to tap the large plus symbol in the lower-right corner. Alternatively, you can tap on Add Task in a free time slot.
2. Add Title, Icon & Color
After tapping the plus button, the task editor opens. Here, you can enter the task's or event's title. While typing, an icon gets suggested for the respective task. You can change the icon and the task color by tapping it.
3. Add Date, Duration & Time
By default, your task gets created on the day you were on when tapping the plus button to add a task. Tap the date to change the day.
You will also see the Time and Duration section. In the Time section, you can adjust when the task is going to take place. Simply scroll up or down to adjust the task's time. By default, your task duration is set to 15 minutes, but you can adjust it using the Duration slider. The Time and Duration settings are dependent on each other. Meaning, if you change the duration, it will automatically adjust above in the time section.
Tap Continue to access the detailed task editor. Here, you can adjust the duration more precisely or change the task's start and ending time manually by tapping on the time frame below the date. If you're adjusting the task's start and ending time in the 12-hour system, ensure to adjust the AM / PM wheel before adjusting the time wheel of the time the task ends.
💡 If you prefer choosing the task's start and ending time manually without being dependent on the duration, simply set the duration to 1 minute.
4. Finish Creating Task
After setting a time, you can set an alert and add a subtask or note. When you are finished creating your task, tap on Create Task and it will appear on your timeline.
Subtasks & Notes
Some tasks consist of several parts or steps or just need a bit of extra information. To keep track of every aspect of your task, you can use subtasks and notes.
After adding subtasks or a note, your task will have a little symbol beneath it in the timeline. To check off a subtask or read the note, simply tap the task.
1. Subtasks
In the Subtask section, you can record every step of your workout, items for your grocery list, or to-dos of your cleaning process by tapping on Add Subtask. You can check these items off, just as normal tasks.
2. Notes
The Notes section is for things you have to remember about your task but don’t need to be checked off, like addresses, phone numbers, or short reminders. To add notes, tap into the field below the Add Subtask section.
Edit a Task
To edit an existing task, tap it, and the task editor will open. Here you can change every setting you have chosen before. When you are finished with applying your changes, tap the check mark in the top-right corner.

Delete a Task
To delete a task, tap on it, scroll down, and select Delete. On Apple devices, you can also drag and drop tasks to the bin, use the ✨ Structured AI to bulk delete tasks, or long-press the day on top of the screen to clear out an entire day's schedule.
In case you want to delete all tasks, use the reset feature, but be aware that this is not reversible.
You cannot delete events that you have imported from a calendar or to-do list app. However, you can remove the task from your timeline or inbox by hiding it. If you are facing trouble editing or deleting the preset Wake Up and Sleep Well tasks, check out our respective troubleshooting.
