What’s New on Structured 4.0?

True to the motto New Perspectives with Structured 4.0, we have released a new update for Apple users that includes the most requested feature: weekly and monthly view. This also comes with a redesign of the navigation using a tab bar to make your Structured screen even cleaner. In addition, we have improved the Structured AI so that existing tasks can now also be edited, rescheduled or bulk-deleted.

In this article, we will guide you step by step through all these and other new features that take Structured to a new level and make planning and rescheduling even easier, faster and cleaner.


Redesigned Navigation


The first thing you’ll notice when opening Structured 4.0, is our redesigned navigation. To include our perspective changing features, we wanted to come up with a simpler, less distracting design by including a tab bar. But don’t worry, moving the menu and settings doesn’t change as much as you might think!


📱 iPhone

On iPhone, the entire menu bar can be found now at the bottom of your screen. Now, navigating through Structured is even easier on large devices.

First, you have your Inbox, next to it your Timeline, afterward the Structured AI and finally the Settings. The Plus button, to add tasks, remains right where it was.

  • 📥 Inbox
    The inbox features remain the same, only the placement of the icon moved.

  • 📋 Timeline
    This is a new feature, which enables switching between daily, weekly and monthly view by long tapping it. Also, when entering the settings and adjusting something in your app appearance, you can always tap on the Timeline button to revisit your adjustments.

  • Structured AI
    Operating the Structured AI basically also remains the same, with only the placement of the icon being moved. However, the Structured AI is now capable of more features, which will be explained below.

  • ⚙️ Settings
    The settings also remained mainly the same, with only the placement of the icon being shifted to the bottom of the screen. However, now when accessing the settings, you can tap trough different settings and switch back to the timeline view, without the setting closing entirely. This comes in handy when adjusting your app appearance and checking your adjustments.


🖥️ iPad and Mac

On iPad and Mac, the redesign of the menu is even less extensive. The Inbox stays in the top-left corner, and also the Structured AI and the Settings remain in the top-right corner.

You can still access the inbox by tapping or clicking the inbox icon. In addition, when the inbox is open, you can adjust the size of the inbox, by tapping or clicking the gray vertical handle and dragging it from left to right.

One change in our redesign is removing the calendar icon from the tab bar for the monthly view. Now, you can access the monthly view by tapping or clicking on the month in the top row.

Moreover, similar to iPhone, you can access the weekly view by tapping or dragging down the gray handle at the top of your daily timeline. You can learn more about this new feature below in the Weekly View section.


Weekly and Monthly View


The weekly and monthly views make it even easier to keep track of your plans. Our goal was to transfer our unique timeline design to the weekly view, while keeping the monthly view simple.


Weekly View

To access the weekly view, tap or drag the gray handle in the middle above your daily schedule. Your daily timelines are now visualized side by side, compressed to their respective task icon. By tapping the icon, the respective task or event opens in your daily timeline view at the bottom of the screen.

Similar to the daily view, in the top row, you can see and tap your all-day tasks. If enabled, you can also see your Energy Monitor and current Cycle Seasons‘ phase.

Scroll up and down on your iPad and iPhone to browse your schedule. To move between weeks, swipe left or right. On Mac, you can use your trackpad and scroll or switch respectively using two fingers.

To switch back to your daily view, simply tap or drag up the gray handle in the middle above your daily schedule. Alternatively, you can also long press the Timeline button in the tab bar at the bottom of the screen, which will provide you with the three timeline options: Monthly view, weekly view and daily view.


Monthly View

To access the monthly view, simply tap the month at the top of the screen. You can now see your tasks and events scheduled for each day as a task icon. To access a specific day, just tap it and the daily view will jump to the respective date in the daily or monthly timeline view in the background. By tapping the Today button in the right corner, you will jump back to today’s schedule.

You can also switch between months by sliding to the left or to the right. By tapping the month in the left corner, you can scroll through the months and years even faster.

If you’re using the Energy Monitor or Cycle Seasons, you can also display your daily scheduled energy level in the monthly view by tapping the list icon in the right corner and selecting Energy Level.


New Structured AI Features


The Structured AI also received a major update. Now, the Structured AI is capable of editing existing tasks in your timeline and inbox, which unlocks numerous possibilities for planning and rescheduling.

Now, when running the Structured AI, you can also see badges next to the tasks, displaying whether the suggested tasks have been created to your timeline, edited, deleted or dismissed.

In addition, while adding new or edited tasks from the AI suggestions, you can easily switch between your timeline view and the Structured AI, to check your edits, by navigating through the tab bar.


🏃 Running Late?

You slept in, open Structured and see, you are behind your schedule. This can be stressful, but now you can handle this easily using Structured AI. Simply tell the Structured AI to shift all of today’s tasks by an hour or two, and it will present you with the adjusted tasks and events. Just add them to your timeline, and you’re right on time again, ready to start your day.

Example prompt:

"I have a doctor's appointment at 8am tomorrow. Shift all tasks from 8am onward by one hour and add the doctor's appointment."


➡️ Reschedule Unfinished Tasks

You did not manage to finish all tasks today? No problem, that happens to everyone. Simply tell the Structured AI to reschedule today’s unfinished tasks to tomorrow, another date or to your inbox. The Structured AI will filter out all unfinished tasks and present you with the requested adjustments. Just add them to your schedule, and you’re back on track.

Example prompt:

"Push all unfinished tasks into tomorrow's schedule, except for the buying presents task. Push this one into my inbox."


🗑️ Clear Schedule

You’re on vacation and suddenly, your everyday life chores disrupt your vacation peace? Relax, you can fix that quickly. Just tell the Structured AI to delete all tasks within a certain timeframe. The Structured AI will present you with all the adjustments, and you can simply apply them to your timeline. Now, take some time off.

Example prompt:

"Delete all tasks in my timeline between January 23 and January 31, except for my morning routine."


What Else is New?


Simplified Drag and Drop

The new tab bar design allows for more possibilities using drag and drop in Structured. On iPhone, you can now also drag tasks from your inbox into your timeline to schedule them, making it even easier to schedule your overdue tasks sitting in your inbox.


Redesign of the Energy Monitor and Cycle Seasons

With our 4.0 redesign, when enabled, the ⚡️ Energy Monitor and ❄️ Cycle Seasons are now displayed in the daily timeline view next to each other, next to your all-day tasks. The Energy Monitor received a visual update, to monitor your available energy even easier. Also, you can see the Energy Monitor and Cycle Seasons in the weekly and monthly view, as described above.
