How to Import External Calendars

Structured can import your external calendars. The imported events will then be displayed as regular timeline or all-day tasks and can be checked off, just like tasks created in Structured. Your imported events can be synced across devices.

On 🌐 Structured Web, this feature is currently only available for beta testers but will be available in the public version soon. 🤖 Android users can use the calendar import on Structured Web and sync the imported events with Structured Cloud.

Please note that this is a premium feature that requires ⭐️ Structured Pro.


Import Calendars on Apple Devices


(1) Compatible Calendars

On Apple devices, you can import events from any calendar app that is compatible with the Apple Calendar app. For example, Google Calendar, Outlook, Microsoft Exchange, Yahoo!, AOL, and more can be imported.


(2) Import Calendar

If you don't use the Apple Calendar yet because you're using another calendar service, continue with the instructions in section (2.1) Add Calendar Account to Your Apple Calendar.

If you're an Apple Calendar user or added a calendar to your Apple Calendar already, you can skip the following section and continue with the instructions in section (2.2) Import Your Calendar into Structured.


(2.1) Add Calendar Account to Your Apple Calendar

Head over to your 📅 Apple Calendar app and check whether the calendars you want to import into Structured appear here. If the calendar events you intend to import into Structured are not displayed in the Apple Calendar on your device, follow these steps:

  1. Open the general Settings app on your device.

  2. Scroll down, tap Apps, and head over to the Calendar app.

  3. Tap Accounts, and then Add Account, select your provider, and enter your credentials

  4. If your calendar now shows up in your Apple Calendar app, the calendar is ready to be imported into Structured.


(2.2) Import Your Calendar into Structured

  1. Go to your ⚙️ Structured Settings and select Calendars in the Integrations section.

  2. Here, you need to tap on Allow Access.

  3. You will be sent to your device's general Settings app, where you can allow Full Access to your calendar for Structured. Please note that Add Events Only permissions are not enough, and you will need to allow Full Access for Structured to sync your events.

  4. Go to your ⚙️ Structured Settings again and select Calendars.

  5. Now, you can select the calendars you want to import into Structured.

  6. All events of the selected calendars will automatically appear in your timeline and be updated regularly; the colors of the calendar will be taken from your original calendar.

⚠️ Caution! If you use Structured on several devices, ensure to enable the import of your calendars on one device only, preferably the one you are using Structured most frequently on. Afterward, your imported calendar events and tasks will be synced automatically with your other devices via iCloud or Structured Cloud.


(3) Add Notifications & Alerts

On Apple devices, Structured can import your notifications and alerts set in the original calendar. Follow these steps to enable notifications for imported events:

  1. Open your ⚙️ Structured Settings and select Notifications & Alerts

  2. Scroll down to the Imported Tasks section and toggle the Calendar Events button.

Please note that you might also receive notifications from other apps (e.g., Apple Calendar or the original calendar) as well.


(4) Change Calendar Color


By default, on Apple devices, Structured will import all events from a calendar in the respective calendar color. You can adjust this in your Apple Calendar app:

  1. Open your Apple Calendar app and tap the Calendar symbol in the bottom-right corner.

  2. Tap on the little red circled i next to the respective calendar.

  3. Tap on the color in the Color section.

  4. Here, you can either choose one of the default colors or customize it by tapping Custom...

Please note that you might have to reboot the app in order to take over the new color scheme.


Import Calendars on Structured Web


(1) Compatible Calendars

On Structured Web, you can import events from any calendar that is compatible with Google Calendar.

Please note that you currently can only add one Google Account on Structured Web at a time.


(2) Import Calendar

To import your Google Calendar on Structured Web:

  1. Open your ⚙️ Structured Settings.

  2. Head over to Calendars.

  3. Next to Google Calendar, select Connect.

  4. This will take you to your Google login page.

  5. Log in to your Google account using your login credentials.

  6. You will then be asked to allow Structured access to your Google account and calendar events. To do so, select Continue and Allow.

  7. Afterward, you will be taken back to the calendar settings on Structured Web.

  8. Here, you can select which Google Calendars you want to import. Select the resync button to update any changes on the external calendar.

To disconnect the calendar import on Structured Web, select Disconnect.

⚠️ If you also use Structured on an Apple device, please make sure you only enable Google Calendar import on one device to avoid any duplicates.


Import Calendars on Android


(1) Import Calendar

The calendar import is not available yet on Android. However, as a workaround, Android users can use the Google Calendar import on Structured Web and sync the imported events using Structured Cloud sync.

To do so:

  1. Import Google Calendar as instructed here.

  2. Sync Structured Web and Android with Structured Cloud.

  3. Your imported events from Structured Web should also be visible on your Android device now.

Imported Events Missing in Structured

Calendar Restrictions

Some calendar apps, although compatible with Structured, have certain restrictions when being imported:

  • Google Calendar: As a default, some shared Google calendars are not synced with apps.

  • Microsoft Exchange: It is recommended that Microsoft Exchange calendars are only enabled on one device at a time.

  • Business Accounts: Please note that some business accounts don't allow third-party access and therefore cannot be imported into Structured.


Limitations


Export Tasks

Tasks created in Structured cannot be exported to your external calendar. Meaning, synchronization of tasks is only possible in one direction, as there is no two-way sync. To learn more, check out: Can I Export My Tasks?


Edit Imported Events

It is not possible to change the time, day, or notes of an imported event. You can only change the color and icon of an imported event and add Energy Points. However, this won't take over for recurring events.


Travel Times

Structured cannot yet import travel times from your external calendars. However, this feature is on our Roadmap.


Structured Web Limitations

Apart from the above-mentioned limitations, on Structured Web, you can only add one Google Account at a time.
